Job Description

CONDITIONS:<br />

Responsibilities

  • Manage reception of the office (fielding telephone calls, receiving and directing visitors and clients, managing the general email inbox …)
  • Employees travel management (agenda, booking hotel, flights, car rental, …)
  • Meeting and/or event organization,
  • Taking meeting minutes,
  • Dashboards follow-up,
  • Ensure staff has the proper training, clearances according to their position
  • Taking over inbound calls and get specific information (contacts & project) to be passed on to sales person in charge
  • Managing inbound RFQ emails of Prodeval Corp email box to be forwarded to sales persons in charge
  • Preparing Prodeval’s standard offers based on sales information to be shared by sales person
  • Participating to the CRM processes: filling out CRM opportunities, attaching inbound emails & sales offers, creating tasks for sales person in charge, be the guarantor of CRM data quality.
  • Ensuring documents standardization update in close relationship with Headquarter Back Office and North American Operation services.
  • Administrative contracts follow up (utilities, electricity, insurances, printer leasing, vehicles leasing, garbage …)
  • Administrative and IT furnitures supply and follow-up
  • PPE supply and good condition
  • Cleaning of the premises
  • Scheduling intervention on site for Prodeval employees, contractors, subcontractors, suppliers, …
  • Supply chain support: follow up with supplier the order status, delivery status, acknowledge the reception of the goods at the premises
  • Document preparation

Job Qualifications

  • Previous experience as a generalist assistant
  • High-level proficiency in Microsoft Office suite of products
  • Strong interpersonal skills and positive demeanor
  • Demonstrated ability to communicate effectively
  • Demonstrate ability to write and redirect correspondences
  • Strong ability to offer suggestions to improve processes.
  • If you speak a second language (Spanish), this is an advantage.
